The conference Monday

Where event leads go to die.

Friday 6 p.m.

A jacket pocket of cards.

Your reps each come back with 50–80 cards. Some have annotations on the back, some are bent, some are from people they can't remember. The pile sits on the desk waiting for "tomorrow."

Sunday 10 p.m.

Four hours of typing.

If you're lucky, your reps actually do the data entry. Three minutes per card, 80 cards, on a Sunday night. Half the entries have a typo in the email - bounce city.

Tuesday 9 a.m.

Leads gone cold.

Conference urgency lasts 72 hours. By Tuesday, your prospect has met thirty other vendors and forgotten which one was you. The pipeline you spent $40k to source just evaporated.

How the scanner closes the gap

Shutter click to CRM in under 10 seconds.

Point, shoot, save. Open the HeyDrop app, point at the card, hit the shutter. The AI reads name, title, company, email, phone, address, and social handles. Any handwritten notes on the back become a open-text note attached to the contact.

Enriched, not just extracted. The AI cross-references public sources to fill in fields the card forgot - a missing LinkedIn, a misprinted email domain, a generic title that gets resolved to a specific role. Low-confidence fields get a yellow underline so your rep knows what to verify in two seconds.

CRM in real time. The contact lands in your HeyDrop list with the event tag pre-applied. From there it pushes to HubSpot, Salesforce, or Pipedrive - owner ID auto-assigned, lead source set to the conference name, ready for the sequence by the time your rep is back at their hotel.

What changes for ops

From the first conference to the next fiscal year.

First event

Sunday-night data entry: zero hours.

First conference with the scanner. Reps come home with leads already in CRM. Monday standup is about pipeline, not OCR.

Quarter 1

Lead-to-touch time drops to 6 hours.

Median time from physical handshake to first sequence email goes from 4 days to 6 hours. Conversion on event leads jumps because urgency is preserved.

Year 1

3× pipeline from same events budget.

Same conferences, same headcount, same booth - three times the qualified opportunities sourced. The cost-per-lead from physical events finally rivals digital.

A real workflow

Web Summit, two SDRs, 240 leads.

Day-by-day: how a conference with 240 collected cards becomes a clean pipeline by the time your team's flight lands.

Day 1 evening

Two SDRs each scanned 40 cards during the day. At dinner, they batch-scan the rest from a folder of paper cards in the hotel - five seconds each. By 9 p.m., 80 leads are in HubSpot tagged "Web Summit 2026."

Day 2 morning

RevOps in the home office wakes up to a fresh segment. Owner IDs assigned by booth shift. The first sequence - "Great talking yesterday at Web Summit" - auto-launches at 10 a.m. local for each lead's timezone.

Day 4 home

Flights land Saturday. Pipeline is already mid-funnel. First demo booked Sunday for Tuesday. Conference ROI calculated and reported by Monday standup - including which booth shifts converted best.

Beyond cards

Anything you can point a camera at.

Event badges with QR codes. Lanyards. Posters with a QR. vCards from the other digital-card vendors. The scanner is one entry point for every physical-to-digital contact moment your team encounters. See where leads land.

  • Works in 150+ countries with full Unicode handling.
  • Image inputs deleted after processing; only structured data retained.

Sales-ops FAQ

FAQ

How accurate is the AI at reading business cards?

On standard printed cards we hit 96%+ field accuracy in our tests. We extract name, title, company, email, phone, address, and social handles, plus we cross-reference public sources to enrich ambiguous fields. Hand-written notes on the back also get captured as a open-text note.

What can I scan besides business cards?

Event badges with QR codes, conference lanyards, paper signs with QR, and even handwritten notes if the camera can resolve them. The same scanner reads vCards, LinkedIn QRs, and other digital business card platforms - we ingest the data either way.

How many scans do I get per month?

Starter plan: 3 scans/month to try it. Pro plan ($3.75/mo annual): 100 scans/month - enough for one large conference. Teams plans include higher allowances per seat. Heavy event teams get custom quotas.

Where do scanned contacts end up?

Inside HeyDrop's contact list by default, with auto-tags for the event you scanned at. From there: HubSpot via native CRM Sync today; Salesforce and Pipedrive next, 6,000+ apps via Zapier, or CSV/Excel export. New contacts can be auto-assigned to a rep based on tag rules.

Is the scanner OK with non-Latin scripts?

Yes. We handle Arabic, Chinese (simplified and traditional), Japanese, Korean, Cyrillic, and most Latin-based European scripts. Mixed-language cards (e.g. Chinese on the back, English on the front) get both sides extracted into separate language fields.

What happens if the scan misses a field?

You see the extracted preview before saving. Edit any field inline in two seconds. We also flag low-confidence fields with a yellow underline so you know what to double-check before pushing to CRM.

Does the scanned data leave my device for processing?

Yes - extraction runs in our EU-hosted inference service, encrypted in transit and at rest. Image inputs are deleted after processing; only the structured contact data is retained, scoped to your account. See the Trust Center for the full data path.
